Privacy Notice
This explains what personal information is collected, why, and what you can do about it. It is written to be read, not to be skimmed past. If anything here is unclear, ask before you book.
Who is responsible for your data
The data controller is LEGAL NAME, trading as Wica's World, at BUSINESS ADDRESS.
IF LIMITED COMPANY: registered in England & Wales, company no. XXXXXXX
Registered with the UK Information Commissioner's Office, registration no. ICO NUMBER.
Contact for anything on this page: info@wicasworld.com
What is collected
When you get in touch. Your name, and whichever contact route you chose (email address, phone number, or Facebook/Messenger profile name). Whatever you write in your message.
When you book a session. The above, plus the date and time agreed, and the type of session.
During a session. DECIDE: Are written notes kept after sessions? See message.
When you buy from the shop. Purchases go through luckywica.co.uk, which handles its own order and payment data. See the shop's own privacy notice.
When you visit this website. No analytics, no tracking pixels, no advertising cookies. See Cookies below for the one thing that does happen.
Why, and on what legal basis
- To reply to you and arrange sessions — because it is necessary to take steps at your request before entering a contract, and to perform that contract (UK GDPR Art. 6(1)(b)).
- To keep basic financial records — because tax law requires it (Art. 6(1)(c)).
- Anything you tell me about your health, emotional state, or wellbeing — this is special category data. It is only processed with your explicit consent (Art. 6(1)(a) together with Art. 9(2)(a)), and you can withdraw that consent at any time.
You do not have to tell me anything you do not want to. Sessions work without a full history. If you would rather share nothing personal in writing, say so and we will keep it to conversation only.
Who else sees it
No personal information is sold, rented, or shared for marketing. Ever.
In practice your data passes through the services used to run the business:
- Email — hosted by Namecheap (PrivateEmail).
- WhatsApp and Messenger — if you choose to contact me that way, Meta processes those messages under its own terms. If you would rather Meta not hold that conversation, use email instead.
- Website hosting — HOSTING PROVIDER.
- Shop and payments — SHOP PLATFORM, e.g. Shopify / Etsy / WooCommerce + Stripe.
Information will only be disclosed to anyone else if the law requires it, or if there is a serious and immediate risk to someone's life. If that ever happened, you would be told unless telling you would increase the risk.
Where your data goes
Some of these providers are based outside the UK and EEA, including in the United States. Where that happens, transfers rely on the UK International Data Transfer Addendum or EU Standard Contractual Clauses, which are the safeguards those providers have in place.
How long it is kept
- Enquiries that do not lead to a booking — deleted within 12 months.
- Client contact details and session records — RETENTION PERIOD, e.g. 3 years after last session.
- Financial records — 6 years, as required by HMRC.
After those periods the information is deleted or securely destroyed.
Your rights
You can, at any time and free of charge:
- Ask what is held about you, and get a copy.
- Have anything inaccurate corrected.
- Ask for your data to be deleted.
- Ask that it stop being used, or object to how it is used.
- Withdraw consent you previously gave, without needing a reason.
- Receive your data in a portable format.
Email info@wicasworld.com. You will get an answer within one month. There is no form to fill in and no charge.
Cookies and third-party content
This website sets no cookies of its own. There is no Google Analytics, no Facebook pixel, no advertising tracking.
One thing does happen automatically: your browser stores your language choice (English or Czech) locally on your own device so the site remembers it next visit. That data never leaves your device and is not readable by anyone else.
TO FIX: The site currently loads fonts from Google's servers, which sends every visitor's IP address to Google before they consent to anything. Download the fonts and host them locally, then this paragraph can be deleted. Until that is done, this notice must say so.
Complaints
If you are unhappy with how your data has been handled, tell me first: info@wicasworld.com. Your complaint will be acknowledged within 30 days and you will get a full response as quickly as possible after that.
You do not have to come to me first, and you can go to the regulator at any point:
- United Kingdom — Information Commissioner's Office, ico.org.uk, helpline 0303 123 1113.
- Czech Republic — Úřad pro ochranu osobních údajů, uoou.gov.cz.
Terms of Service
What this is, and what it is not
These sessions are not medical or psychological treatment. They are not a diagnosis, not psychotherapy, not counselling, and not a substitute for care from a doctor, psychiatrist, psychologist, or any other regulated healthcare professional.
Nothing said in a session should be taken as medical advice. No outcome is promised or guaranteed. If you are unwell, in crisis, or already under someone's care, keep seeing them. If you are taking prescribed medication, do not change or stop it because of anything discussed here.
If you are in immediate danger or crisis, contact emergency services (999 in the UK, 112 in the Czech Republic and across the EU), or the Samaritans on 116 123 (UK, free, 24 hours).
Who can book
Sessions are for adults aged 18 and over. Booking confirms you are 18 or older.
Booking, changes and cancellation
- A session is confirmed once a date and time have been agreed in writing.
- To cancel or move a session, give at least NOTICE PERIOD, e.g. 24 hours.
- Late cancellation or not turning up: POLICY, e.g. full fee charged / no charge first time.
- If a session has to be cancelled from my side, you will be offered another time or a full refund.
Payment
Prices are agreed before the session. Payment is due WHEN: before / on the day / after, by METHOD: bank transfer / cash / card.
Consent and physical contact
Hugging therapy involves physical contact. That contact is always non-sexual and non-romantic, without exception.
Every session starts with a conversation about what you are and are not comfortable with. Nothing happens that you have not agreed to. You can change your mind, adjust what is happening, or stop the session entirely at any moment, without explaining why and without any awkwardness.
Both parties stay fully clothed at all times.
Any request for sexual contact will end the session immediately with no refund, and no further bookings will be accepted.
Ending a session
A session may be ended early, without refund, if someone arrives under the influence of alcohol or drugs, behaves aggressively, or acts in a way that makes the space unsafe.
Confidentiality
What is said in a session stays there. The only exceptions are the legal ones set out under Who else sees it above.
Liability
You take part voluntarily and remain responsible for your own decisions and wellbeing. Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot legally be limited.
The shop
Purchases from luckywica.co.uk are governed by that site's own terms, returns policy, and privacy notice.
Changes to these terms
If these terms change, the updated version appears here with a new date at the top. Sessions already booked stay under the terms that applied when you booked.
Governing law
These terms are governed by the law of England & Wales / Scotland / Northern Ireland. If you are a consumer resident in the EU, you keep the protection of the mandatory consumer laws of your own country.
